Timing is another thing that could play a role. No one wants to be outside in the middle of the winter. Luckily, there are plenty of indoor venues and activities you can choose for your team meeting in December. If you are looking for something towards nighttime, you could always combine it with a meal from our Murder Mysteries.

Select The Right Venue

Are you looking for something home or away? If you don’t mind something overnight, you will typically want to stay within 1-hour proximity to the workplace. This can give your employee’s a chance to arrive on time. You don’t want everyone rushing to get to the place and having the schedules messed up when it could have been avoided. This is especially true if they will be going back and forth. You don’t want the return journey to keep them out too late.

We have a range of venue options available across the Europe and U.K. You will find a lot of our venues offer a range of meeting rooms, facilities, and indoor and outdoor spaces. You will also find a lot of them equipped with all of the A/V equipment and other stuff you’ll need.

Guest List

You need to plan out your guest list accordingly. Doing this beforehand is key to keeping your organization well organized. You want to send out notifications of your event with significant notice. We give organizations as much as 6 weeks for everything to be finalized. After which increasing numbers of attendees could become difficult. Because of this, it’s important to get your guest list sorted with enough time to make the appropriate accommodations.

Transportation

Will all of the people attending be handling transportation on their own? If they are going to be handling it, you won’t need to make preparations for everyone. However, if you are planning on doing it yourself, you’ll want to speak with our team to get group transport scheduled for your attendees. That way, they can get to and from the event with ease.

Budget

Getting your budget sorted for an event is rather difficult. This is especially true when you factor in various costs associated with hosting it. These costs can get extensive as they can include everything from transportation to catering costs, and more. If you don’t have the time or experience to handle budgeting, we can help you through the process from start to finish. We will be able to reverse engineer based on your budget specifications to ensure you get an event that is tailored to your event budget.

Insurance

As someone that is organizing the event, you are likely to be responsible for arranging it. You will want to be careful when doing this because there are companies out there looking to scam novice event planners. Whenever you exchange money, you need to research the companies you are booking. It’s always a good idea to book with companies that are ABTA bonded. That will ensure you remain protected. You also want to check with your company insurers to see whether or not they cover events outside of your working hours and premises.

Extras

You will also want to figure out if there are any extras you need to be included in your budget. Whether it’s offering prizes to the winners of a contest or budgeting to provide taxis for your employees. You want to include everything you’ll be needing to keep your finances in order. If you have any special circumstances or you require supplemental services like speakers and equipment, we’ve got you covered.
